Make a three-address map
Form 8822-B separates old mailing address (line 5), new mailing address (line 6) and new business location (line 7). The form also has boxes for the types of returns affected and business location. The transition may change only one role. Do not copy a mailing-service address into “business location” merely to fill all fields.
For a foreign address, the form instructions say to follow the country’s postal-code practice and not abbreviate the country name. The “in care of” instructions address mail received through a third party. Keep the actual arrangement and reliable recipient in your private record.
Coordinate reception before ending the old service
- Inventory open IRS matters and which address appears on each letter or return. Preserve full correspondence, envelopes and dates received.
- Record the old mailbox’s access end date and any forwarding/scanning arrangement actually confirmed with the provider. Do not assume forwarding exists.
- Confirm who controls the new mailbox, how notices reach the authorized person and how time-sensitive mail is escalated internally. A billing receipt proves purchase of a service, not successful IRS mail delivery.
- Keep a dated copy of the change submitted and its delivery evidence; track later IRS correspondence separately. Mark “submitted,” “delivery evidenced” and “record/reception observed” as different states.
- Review separate updates for banks, state agencies, vendors and representatives. This IRS worksheet does not update those systems.
Use the correct change process
The form instructions cover business mailing address, location and responsible party; an authorized representative signing for the taxpayer must attach a power of attorney. Follow the current form’s filing instructions for the actual old address; do not reuse an SS-4 fax destination.
The IRS address FAQ says USPS changes may update IRS records through NCOA, but not all post offices forward government checks, so notify the IRS as well. It says processing generally takes four to six weeks after receipt; that is not a guaranteed completion date.
The 60-day requirement stated on 8822-B concerns a change of responsible party. Do not turn it into a general address-change deadline. If that person also changes, use the separate responsible-party guide and retain both event dates.
Fictional transition: mailbox changes, location does not
Cedar Example LLC moves from Mailbox A to Mailbox B on October 1 while its operating location stays the same. The private map shows old mailing A, new mailing B, unchanged location, and the actual overlap period during which A still scans mail.
A letter arrives at A after the change request was delivered. Keep that letter and receive date; do not discard it as invalid or mark the change failed solely from one piece of mail. Review its issue date, the processing interval and any need for follow-up through an independently verified IRS channel.
Your private worksheet
Keep this record with your own source files. There is nothing to enter or upload here. Copy the headings, or open the plain-text sheet to save locally.
- Address map
- Old mailing, new mailing and business location, each with evidence and effective event date; mark unchanged roles.
- Reception plan
- Authorized recipient; old service end/forwarding dates; new access confirmation and time-sensitive mail routing.
- Open correspondence
- Notice/case, issue and received dates, address used and action deadline transcribed from the actual notice.
- Change evidence
- Applicable form/process, authorized signer, exact copy sent, destination source checked on date and delivery evidence.
- Observed result
- Later IRS correspondence/confirmation, address shown, date observed, remaining question and follow-up record.
Two fictional files to compare
Invented examples with no real applicant, taxpayer number or live account.
Only the state filing changed
Harbor’s state portal shows its new address, but the IRS notice still shows the old one.
Review result: Keep the state update as separate evidence; locate the IRS change submission and manage both mailbox paths.
The responsible party also changed
Cedar has a mailbox event and a different responsible-party event date.
Review result: Maintain two event records. The responsible-party deadline is not measured from the mailbox invoice date.
What completes this review?
The transition record is useful when mail can be received during the handoff and each address role has evidence. Do not mark the IRS change complete from payment to a mailbox provider or shipment tracking alone.
